POSITION DESCRIPTION – UNITED WAY OF KNOX COUNTY OHIO, INC.
Job Title: Administrative Associate
Position Reports To: Executive Director
Status: Non-Exempt
Summary: This position is responsible for providing assistance and support with United Way’s initiatives, as well as supporting United Way’s office management and fundraising activities.
Essential Functions:
- Perform general day-to-day office operation duties including mail processing
- Assess needs of callers and in-office visitors and direct them to community agencies, supports, and programs
- Recruit, enroll and work to retain children birth to age five for the Imagination Library book program
- Educate and reinforce the importance of early learning, financial stability, and healthy living to the community at large by assisting in developing and offering learning/volunteer opportunities throughout the county
- Track and record volunteer hours and volunteer opportunities
- Develop newsletters for Women United and United Way working directly with Program Director who will provide content
- Be proficient in Donation Software for reports and data entry
- Represent United Way at various community meetings as assigned
- Be proficient in Program Application Software
- Assist with coordination of Women United activities and events
- Support Free Tax Preparation Assistance program appointment scheduling and inquiry
- Complete Tax Preparation Assistance program training certification and meet with tax program clients to assist program participants in completing their taxes
- Assist with Campaign activities providing support for mailings, event signage and other duties as needed
- Organize weekly trash/recycling, organize garage after events
- Assist Program Director with Poverty Simulations, providing support recruiting volunteers and day of activities
- Perform other duties as assigned

- Able to prioritize and manage time and tasks in order to meet deadlines in a fast-paced environment
- Possess good planning, organizational and time management skills
- Possess strong computer skills including Microsoft Office with the ability to learn and use new software and systems as required
- Possess knowledge of community resources, programs, and supports
- Must be a quick, self-starter, with the ability to look ahead and take charge of situations
- Able to work effectively with people with diverse educational and cultural backgrounds
- Provide quality customer service while maintaining a professional demeanor at all times
- Exhibit excellent verbal, written and interpersonal communication skills
- Able to respond to a crisis situation in a calm and collected manner

Education and Experience Requirements:
- Two to three years of demonstrated experience in an office setting
- Motivation to work with volunteers and/or volunteer engagement efforts
- Event coordination experience
- Social media and marketing experience
Work Conditions:
- 37.5 hours per week average, may involve evenings or weekends based on needs of the organization
- Flexibility is required as needs may change
Physical Factors:
- Ability to legally operate a motor vehicle
- Must provide own transportation
- Ability to lift up to 50 lbs and move event supplies as needed (tables, tents, storage totes, etc.)
