Objectives

The Election Administrator is a hands-on employee who assists with the public at the front desk and answering phone calls during the day. They also process voter registrations for new voters and those updating their information, merges from other counties, duplicate lists from the Secretary of State and mails out acknowledgement cards and confirmation notices. They also handle a variety of reports including BMV mismatch, STEVE list (deceased voters), missing signature report, confirmation safeguard, weekly audit and the NCOA reports. They handle all the incoming and outgoing mail. At different times during the election process, they also assist in the petition process including explaining the process, collecting fees and validating signatures. They enter absentee applications, assist in printing ballots, mailing ballot packets, assisting in absentee room and receiving the completed ballots back into our system for processing. After election day, they are responsible for entering all the Provisional ballots and to keep in contact with other county provisional requests. During the year, they handle all of the retention process of boxing all documents away, holding for certain periods of time and arranging for disposal at the appropriate times.

 

Essential Functions

Assist public at the front desk, answering phone calls, process new and update voter registrations, process merges from other counties. Handle and process several different reports such as duplicate list, STEVE list, BMV mismatch, missing signature report, confirmation safeguards, weekly audits, NCOA reports and many others. Handle incoming and outgoing mail, including processing notification cards for voters, absentee applications and voter registration forms. Enter absentee applications, assist in printing ballots, mailing ballot packets, assisting in absentee room and receiving ballots back into our system for processing. Entering in all Provisional ballots and help assist in other post-election activities.
 
Assist in general office operations, such as maintaining supplies in an orderly fashion; assist with nursing home absentee voting; assist candidates with petitions, collecting petition fees and campaign finance reports; field inquiries from the public; and assist in validating candidate petitions.
 
Handle all of the retention process of boxing all documents away, holding for certain periods of time and arranging for disposal at the appropriate times.
 
Other duties and responsibilities as assigned by the Director or Deputy Director and attends staff meetings as assigned.

 

Job Standards

High school diploma or equivalent. Computer skills including but not limited to Microsoft Office. High level of customer service skills. Experience in elections preferred, any equivalent combination of education, experience, and training which provides the required knowledge, skills, and abilities. Must be a registered Democrat. Must possess a valid Ohio driver’s license and maintain insurability under the County’s vehicle insurance policy.

INHERENTLY HAZARDOUS OR PHYSICALLY DEMANDING WORKING CONDITIONS:  
The employee has exposure to chemical compounds found in an office environment (e.g., toner, correction fluid, etc.); works in and around crowds; may have contact with emotional or distraught people; may be required to work irregular hours; occasionally required to stand, walk, stoop, kneel, crouch, or crawl on even and uneven surfaces; occasionally required to lift, carry objects up to 50 lbs, and push, or pull objects up to 250 1bs. or less.
 
Note:   In accordance with the U.S. Department of Labor physical demands strength ratings, this is considered sedentary work.
